User agreement/Terms & conditions of use: Between the user (User, you) and the Operator of this website (HOTELSATWEB.COM , we). Please read these terms and conditions of use (Terms and Conditions) before using this Website and making any booking. Your use of this Web site constitutes your agreement to all such terms, conditions, and notices, as stipulated below and updated by us from time to time. If you do not agree with the terms and conditions then you are not authorized to, and must not use this Website.
Prices and Inclusions: All rates displayed on our Website are total for the duration of the WHOLE STAY/SERVICE or Per Night , as per the search criteria input by you . Our Prices include service charges and might or might not include local taxes depending on the rate displayed.
Breakfast and/or other meals are not included unless otherwise stated specifically in the rate description/ room disription displayed. Some hotels/travel suppliers/authorities may charge additional local taxes, which are payable on the spot directly to the establishment. Sometimes when the bookings are made in advance and between the date of Booking and your actual check In some national authorities may levy additional local taxes which becomes payable directly. In such cases you are liable to pay those additional Taxes.
Vouchers: Vouchers you receive from us will entitle you to use the pre-paid services, strictly as specified in the voucher in terms of particular hotel/service, period of services and type of services. All and any extras/alterations to the above are at your sole discretion, those as well as additional personal charges, such as but not limited to, phone bills, laundry, room service, insurance and/or paid upgrades etc. will be settled by you directly with hotel/service provider on the spot.
We always book the desired services and Issue the vouchers sometimes due to some unforeseen circumstances hotel may at the last minute may be forced to provide you alternate services without any Prior Information to us. In such cases all the claims must be made directly to the hotel or the supplier of the booked services.
Hotel accommodation: Hotel information appearing on our website pages is strictly as provided by the hotels themselves, and/or the Travel Suppliers and we are not liable for any omissions, errors, lack of or incorrectness of any part thereto. Hotel ratings, hotel information, maps and images displayed on this website are intended as a guideline only and are not binding upon us in any manner
Special requests such as Special Bedding request , Non-smoking rooms not part of the original booking contract will be forwarded by us to the hotel/travel supplier but cannot be guaranteed by us as these services are on the sole description of the service providers.
In most hotels normal check-in time is 15:00 hours and check-out time is until 12:00 a.m. However this varies from hotel to hotel and place to place.
Late arrival: Hotels keeps the Guaranteed rooms or prepaid room till Midnight or till 2400 HRS. If you are arriving to the hotel after this hour, you must advise us in advance by providing your estimated arrival time. Should you fail to do so hotels will have the right to resell the room, and will not be able to accommodate you when you arrive. Providing us with the “late arrival” information is your responsibility, and we will not be held liable for any problems arising out of your failure to do so.
Any disruption during your stay because of the hotels own mistakes should be reported directly to them .
Room types are specifically mentioned in your booking. Bedding size and their types vary from hotel to hotel .We are not responsible for such variations .Extra beds are usually rollaway and not full size.
Child policy differs from hotel to hotel . In most hotels NO additional bedding is provided for a child where the child is free or at a reduced price. Please read the child policy carefully such as age of the child, Breakfast Information , etc. at the time of Booking . You may be charged for the extra bed booked in the room for child.
In increasing number of hotels worldwide, and particularly in the USA/Canada, you may be charged direct at rack rate, or accommodation may be refused, if you fail to present a valid voucher for all guests arriving. Therefore you must make sure that, if the reservation is for more than one room, all travellers’ first and family names are provided by yourselves at the time of booking, and printed on the voucher.
Complaints must be reported to the hotel/service provider on the spot. We will not be liable for any compensation for a problem which could have been rectified during the clients stay, had the hotel/service provider been made aware of it.
Periods with High Demand: Certain periods such as international and local exhibitions, trade fairs, congresses, conventions, holidays, sporting events etc. tend to attract high occupancy and rates for hotels and services. These periods are accompanied by special terms and conditions imposed by hotels/travel suppliers, generally there might be requirements for minimum stay, high rates (usually exceeding normal rack rates), longer cancellation and prepayment terms etc. You must carefully check the specific Booking condition associated with each booking before confirming your reservations as later on Modifications in such booking may attract higher penalties.
Any efforts detected by the suppliers and the hotel from the bookers part to circumvent their policies and conditions might result into automatic cancellation from the service providers part.
Group Reservations: Group bookings are subject to longer cancellation terms and early prepayment. You will be advised of the particular terms for each group booking upon confirmation from suppliers. Sometimes cancellation and Payment deadlines differ and in some cases cancellation deadlines are passed before payment deadlines, in such cases if you miss the deadline you would still be liable to pay full amount even though you are not using the services. As well service providers can simultaneously resell those services and charge the cancellation fees. Hotels usually regard party of 3 rooms and over as a group.
If you book online on our system more than 3 rooms as separate reservations, the hotel might, upon discovering party arrive and stay together refuse to honor these reservations at our FIT rates and/or Cancellation Terms , and either cancel the rooms or impose higher rates/aggrevated terms, at their sole discretion. You should therefore not make group bookings by splitting them into FIT reservations. Whenever such cases are discovered, we will be obliged to follow the hotels’ decisions and instructions, which might among other consequences, incur such rooms being cancelled, or rebooked at higher rates and longer cxl terms. In such cases we will bear no liability whatsoever towards yourselves and/or co-travelling clients.
Cancellations, amendments, claims, service provision limitations: Cancellation deadlines applicable for each booking is displayed at the time of booking and once you accept those terms and book the services , they are binding .
The cancellation deadlines are provided for every Individual Bookings before finalizing your bookings . If you cancel past the current deadline, or fail to show up at the hotel/service provision point (“no-show”), you will be charged as per the detailed cancellation policies in the booking . It may vary from 01 Night or unit to the 100% of the total cost of the services booked by you.
All amendments or cancellation request should be made in writing or online on our website. We will not process any of your requests made by phone, and the original status of the bookings will be deemed accurate and applicable for all purposes, including charges and your payments obligations
If a hotel overbooks itself it will offer alternative accommodation for the clients. We will advise you immediately, upon receipt of such notice from the hotel/supplier, and you will be free to accept or decline and cancel the reservation. We will bear no further liability towards yourselves and/or other co-travelling clients. Should you wish to re-book a different property at a higher price, you will be liable for the additional cost.
Any amendments or cancellations of bookings made by us should be done through us NOT the hotel/travel suppliers themselves. Should you fail to do so, full charges will apply for the services booked through us, and regardless of your dealings with the hotels/service providers directly. Our contract remain between us and the original party who made the reservation on our website. Any third party communication will not be accepted by us .
No refunds are provided for any unutilized services after the cancellation deadlines are passed .If you decide to alter any services during your stay at the property than such agreement should be presented to us in writing from the service providers themselves , any oral communication in this regard would not be accepted by us. Any refunds for services in this regard can be done only after we receive the refunds for such services from the service providers. Sometimes we may not be dealing with the property directly and our suppliers in such case may refuse to deviate from the original policy stated in the original booking agreement , in such case we may not be able to provide any refund for the unutilized services after the cancellation deadlines are passed.
We provide our vouchers for all the services prepaid and charged by us. Any extensions or additional services outside the scope of the original vouchers provided by us, will be handled and paid by yourself directly on the spot, and we will not be held liable in any way for such dealings, which are fully at your sole discretion.
Payments: All bookings must be prepaid prior to cancellation deadline mentioned at the time of Making the Bookings .
Before payment is received in full, we or the Travel Supplier is not obliged to issue vouchers, or other travel documents. However, you shall in all cases remain liable for payment of the amounts for the travel products and services ordered and booked.
Online credit card payments are accepted if made by your the Agent’s/ Companies own credit cards only. If you the Agent / Companies want to pay by a credit card which belongs to a 3rd party then the Agent or booker must provide us with a signed credit card authorisation form bearing the signature of the credit card’s holder, Non-compliance with this condition will constitute a major breach of agreement. You will cover immediately in full all and any charge backs which might be filed against us by any 3rd party, for reservations paid with credit/debit cards, by your company and staff online on our reservations system/s/, without right to dispute. In case your payment is not received in full before the Cancellation deadline is passed we reserve the right to cancel your bookings without any prior Information.
If you already have deposit with us or Bank Guarantee with us than cancelling the bookings before the Cancellation deadlines will be your responsibility and in case of failure to do so you are legally bound to pay the full cost of Bookings irrespective of they are utilized or not.
Refund: If you cancel the reservation which free of charge cancellation date is in the future, we will refund in 05 working days.
If you cancel the reservation which free of charge cancellation date has been already passed, we will refund after 15 working days when we will receive the refund from hotel/ Supplier, if any.
Mode of refund: Refund would be done in the same mode in which original payments is received by us.
Currency Exchange Rates: Prices displayed on our websites are in Foreign Currency/ Local Currency. If the price is in Foreign currency and payments are made in Local currency than Exchange rate applicable would be the day on which payment is made irrespective of the date on which is booking is made. In case an Invoice is requested in Local Currency or INR than the payment has to be made within 48 Hours of the Issuance of the Invoice in case of failure to do so a new Invoice with new exchange rate applicable would be issued. If you decide to pay in Indian Rupees than Applicable service Taxes would be charged over and above the Invoice amount.
Liability Disclaimer: We act only as an intermediary in making arrangements for hotels, transportation or any other travel services and do not assume any responsibility for the travel products and services provided by the final Travel Supplier and make no representations or warranties (express or implied) about the suitability or quality of travel products and services featured on this Website.
Information, software, products and services presented on this website may include inaccuracies or typographical errors. We do not make any guarantee or representation as to the accuracy or proprietary nature of site content, and disclaim liability for inaccuracies relating to the information and description of all products displayed on this website. All services and products presented on this website are supplied by Independent contractors/Travel Suppliers and are not agents or employees of the Operator. Indemnity: You agree to defend and indemnify us and/or our suppliers and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by third parties as a result of your breach of these Web Site Terms,Conditions and Notices or the documents referenced herein, your violation of any law or the rights of a third party or your use of this Website.
We reserve the right to change or update the Terms and Conditions relating to use of the Website from time to time without prior notice to Users.
